RULES & REGULATIONS:
REGISTRATION:
Booking requisition form has to be signed by the applicant and is legally binding.
CANCELLATION:
The Organizers reserve the right at all times to change/postpone the dates of the exhibition or cancel the event due to unavoidable circumstances without the participants being able to access the right to compensation for any loss. Registration cannot be withdrawn or altered unilaterally by the participants.
(2) In Case of Cancellation of Booking/Paid Amount Will Not Be Refunded.
APPLICATION FOR PARTICIPATION:
(1) Prospective exhibitors should apply for space/stall on the prescribed exhibition space contract which shall be submitted to the Organiser.
(2) 35% of the payment on at the time of booking Last and final payment has to be done by 30th August 2023
STALL ALLOCATION AND OCCUPATION :
(1) The Organizers may if required under any circumstances allocate space in another position or slightly reduce or increase, they reserve the right to alter entrance and exits to and from the exhibition ground, halls and the passages.
(2) The Organizers reserve the right to cancel the stall booking approved on the basis of misleading or false information whereby the requirements for participation are no longer met by the applicant.
(3) The Exhibitors must occupy the space allotted to them not later than 4-00 p.m on the previous day of the exhibition otherwise the organizer reserve the right to reallot the stall.
(4) Organiser reserve the sole rights for confirmation of your participation & allotment of stall location.
Stand Fitting Services:
(1) Shell Scheme Exhibits: Under the shell scheme, the official contractor of the Organizer is responsible for carrying out all stand fitting works.
(2) Space Only Stands: Exhibitors are required to handle their own stand design and construction for all space-only sites. However, the Organizers must approve the stands, granting the Exhibitors the freedom to design and choose the stand fitting. It is essential for Exhibitors to demonstrate that the erection and demolition of stands can be safely completed within the designated time. Non-compliance with these Terms and Conditions, including the submission of stand design drawings, may result in the Organizers preventing work by or on behalf of the Exhibitor. Optionally, the Exhibitor may choose to subcontract stand design and construction to the official contractor of the organizer.
Booth Exhibits:
(1) Exhibits must be positioned in such a manner that at no time will it intrude in to the gangway to hazard visitors or hamper movement.
(2) Any exhibit or process which generates noxious toxic fumes or smell of any kind should be arranged in manner as to have any effective exhaust system.
(3) The organizer reserve the right to terminate an exhibit’s demonstration at any time if found harmful. If the Exhibitor is ejected by Show Management, there will be no refund of any amount paid by the Exhibitor.
(4) No gasoline, kerosene, diesel fuel or other flammable liquids may be stored, permanently or temporarily, in inside the exhibition space.
(5) The organizers are empowered to order the permanent cessation of a working exhibit or display if two or more adjacent exhibitors should make a serious objection to noise or any disturbance resulting from such a working exhibit or display.
(6) Participants parking will have a security check. Participants will be required to obtain free parking passes to avail of this facility. The visitor’s parking will be unattended.
(7) Possession of Arms, Knives and any type of Weapons in Strictly Prohibited in The Exhibition Area.
(8) Operating horns, bells, alarms, or flashing lights is strictly prohibited. Exhibitors are not allowed to operate amplifiers, television receivers, or loudspeakers in their individual exhibits, unless they have obtained signed approval from the Organizers and mandatory government permission.
(9) Exhibitors must clearly specify in all communication inviting buyers to visit their booth that registration is mandatory for entry to our trade show.
Premium Booth Rates: Additional charges will apply for booths with open sides, and these charges will be based on the tariff rate rather than the discounted rate.
(2) The surcharge for booths with two open sides is 15%, for those with three open sides is 20%, and for island booths is 25%.
BOOTH INTERIORS: Exhibitors are encouraged to creatively decorate their stands to effectively showcase their products and company image. However, they must ensure that no damage is caused to the walls, panels, or floors, which means refraining from using nails, painting, or engaging in any other activities that may cause harm Booth Alteration:
(1) Prior written approval from the Organisers is required for any alteration in the size of an Exhibitor’s booth.
(2) The white plywood of the Shell Scheme should not be fixed or altered in any way. Any attempt to do so will result in the restoration of the original structure at the Exhibitor’s or their agent’s expense.
(3) Booth displays are not allowed to overhang the allotted area, and obstructions are prohibited near gangways, fire points, extinguishers, and emergency exits of the halls.
(4) Designers are kindly asked to avoid designs that may block or box in other Exhibitors’ booths or the aisles.
Mezzanine: Exhibitors must seek prior approval from the Organiser for constructing a Mezzanine floor. Construction is allowed on only 50% of the total stand space exceeding 100 sq. mtr, subject to an additional rental of INR 8750 per sq. mtr.Electrical Installation: Before connection to the main supply, all outside electrical installations must be carried out exclusively by the officially appointed electrical contractors. Exhibitors shall take responsibility for safeguarding their equipment against voltage fluctuations and/or power failure, with the Organisers absolved of any liability for the resulting consequences.
Insurance: Exhibitors are urged to secure insurance coverage for their direct and indirect staff/employees. The organizer cannot be held responsible for any damages to their property, whether wholly or partially, during the exhibition period.
Fascia: Only one fascia board will be provided per booth. Shell Scheme exhibitors are not permitted to alter the standard fascia as part of their display. The information provided in the application form and exhibitor manual will be used for the fascia board at your stand.
Delivery of Exhibits: Exhibitors must adhere to the Build-up Timetable and Delivery Schedule as outlined in the Exhibitors’ Manual. Under no circumstances will the Organizers accept or sign for any goods, exhibits, or materials on behalf of an exhibitor.
Removal of Exhibits: After the exhibition concludes, exhibitors will be allowed to remove portable exhibits and personal materials from their stands, supervised by authorized staff members. Portable exhibits should be removed on the same evening to ensure their safety.
Subletting of Space: Exhibitors are strictly prohibited from assigning or subletting any part of the allotted space or the exhibits therein.
Failure of Service: The Organizers will make every effort to ensure the services of suppliers are provided. However, neither they nor the suppliers shall be held liable to exhibitors for any loss or damage in the event of a complete or partial service failure. Furthermore, exhibitors will not be entitled to any concession regarding the stand charges due or paid under the contract.
Opening Hours: The exhibition will be accessible to visitors from 10 a.m. to 6.00 p.m. throughout all three days of the event.
Photography Policy: Exhibitors who wish to have their stands or goods photographed may avail the services of the official photographer. No other photographer is permitted to take pictures, draw, copy, or reproduce any stand or article within the venue without the explicit permission of the organizers.
Catering Arrangements: All food and drink to be served on stands or consumed within the venue must be acquired from the designated official venue caterer.
SECURITY:
(1) While all reasonable steps for the protection of the property and exhibits are taken, including the employment of a force of private security officers, the organizers do not by regulations governing the exhibition, accept any responsibility for loss or damage to, exhibitors or contractors properties within the exhibition grounds.
(2) Mobile, Laptops, wallets, Hand Bags & Personal Belongings etc., loss or savise stall not be held responsible.
(3) Consumption of Axonal is Strictly Prohibited in Exhibition Area.
EXHIBITOR’S BADGE:
(1) Participants are requested to submit the list of stall attendants for issue of badges.
GATE PASS:
(1) Exhibitors are requested to note that they would require a gate pass for security purpose in case they wish to take any exhibit out of the exhibition grounds. The gate passes would be available on written request at the office.
(2) A final gate pass would be needed on the last day for the exhibitors to move out of the exhibition ground.
DISTRIBUTIONS OF PRICE LIST, ADVERTISEMENTS ETC.:
(1) Price list, Pamphlets, advertisements etc. may only be distributed from exhibitor’s own stalls and not in the public gangway nor at any other locations on the exhibition ground.
(2) Exhibitors are allowed to distribute literature of their company only.
(3) The participants are not allowed to share the display area with any other company persons without the prior written permission of the organizers.
CLEANING OF STALLS:
(1) Arrangements have been made by the organizers for the cleaning of the exhibition area in general, however, the cleaning of the stalls and exhibits will remain the responsibility of the exhibitors.
NOISE AND LIGHTS:
(1) The Level of sound of the amplifying systems and the intensity of the lights used must be such that no inconvenience or annoyance is caused to other exhibitors or visitors. Any complaint received will result in termination of such display.Loss or Damage: The Organiser shall not hold any responsibility for any loss or damage to the Exhibitor’s property incurred during moving, transportation, or shipment. In such cases, the Exhibitor remains obligated to pay the full stand rental and any other amounts payable to the Organisers.
Indemnity: By entering into this agreement, the Exhibitor represents, warrants, and assures that it acts as the principal and not as an agent or nominee of any third party. The exhibits presented do not infringe, nor are likely to infringe, any patent, trademark, copyright, or other intellectual property rights of any party. The Exhibitor agrees that any breach of the representations, warranties, and undertakings within this Agreement, or any breach of the provisions contained herein, may result in the termination of this Agreement and the license granted by the Organisers (without the Organisers incurring any liability for damages or claims whatsoever and without prejudice to the Organisers’ other rights and remedies). Furthermore, the Exhibitor shall indemnify the Organizers against all costs, claims, demands, losses, liabilities, charges, actions, and expenses. The Exhibitor is responsible for obtaining its own insurance coverage sufficient to protect against any possible liability.
GENERAL: In addition to any rights or reservations already specified, the organizers reserve the following rights:
(1) The information, rules and regulations are subject to alteration or deletions. In case deletion or alterations, the organizers will keep the exhibitors informed.
(2) The Organiser makes no assurances regarding the exact number of attendees at the Event. The Exhibitor acknowledges that they are not eligible for any refund, whether in whole or in part, based on the actual level of attendance.
(3) Matters in connections with the exhibition not provided for by these rules and regulations shall be settled or determined by the organizer, whose decision in relation thereof shall be final and binding.
(4) To remove from exhibition ground the goods of an exhibitor, who may contravene any of the regulations in force.
(5) In case of cancellations or postponement of exhibitions by natural calamities, Acts of God, Government instructions and/or any other unavoidable reasons, the exhibitors shall comply with the decision of the organizers.
(6) The organizers will not be responsible for any Legal Problems arising out of product displayed, such as G.S.T./ Octroi & other taxes.
(7) All the claims are subject to Ahmedabad jurisdiction.
